This Privacy Policy describes how Travexa Pvt Ltd ("Travexa", "we", "us", or "our") collects, uses, and protects your information when you use the Qport platform, including the Qport mobile application (Android) and the Qport web application (collectively, the "Service").
1. Information We Collect
1.1 Personal Information
When your organization administrator creates your account, we collect:
- Name (first name and last name)
- Email address
- Password (stored in hashed form using bcrypt; we never store or have access to your plain-text password)
- User role (e.g., surveyor, driver, or admin)
1.2 Location Data
Qport is a GPS-based route intelligence platform. To provide our core functionality, we collect:
- Real-time GPS coordinates (latitude and longitude) during active route survey recording and task navigation sessions
- Speed, bearing, and accuracy metadata associated with GPS points
- Route deviation data — the distance between your actual path and the assigned route
- Timestamps for each recorded location point
1.3 Photos and Media
During route surveys, users may capture and upload photos and videos of route constraints, road conditions, and points of interest. These media files are stored securely in cloud storage (Amazon S3) and are accessible only to authorized users within your organization.
1.4 Device and Session Information
When you sign in, we collect:
- Device ID and device fingerprint
- Operating system and platform (e.g., Android)
- Browser / app version information
- Screen resolution
- Timezone and language preferences
- IP address
- User agent string
This information is used for session management, single-device login enforcement, and security purposes.
1.5 Usage and Route Data
We collect data related to your use of the Service, including:
- Route survey recordings and annotations
- Notes and observations attached to route points
- Task creation, assignment, and completion records
- Navigation session history
- Vehicle assignment records
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the Service — route survey recording, route planning, task management, turn-by-turn navigation, and live tracking
- Enable real-time tracking — allowing your organization's control room to monitor live truck/vehicle movement during deliveries
- Detect route deviations — comparing actual travel paths against approved routes and alerting relevant stakeholders
- Generate reports and analytics — including route readiness, execution performance, delivery timelines, and data exports
- Manage authentication and security — session management, single-device login, and fraud prevention
- Send transactional emails — password reset links and deviation alerts
- Improve the Service — analyzing usage patterns to enhance features, reliability, and user experience
3. Information Sharing and Disclosure
3.1 Within Your Organization
Qport is a B2B platform. Your data (including location data, routes, photos, and task information) is accessible to authorized users within your organization (client account) based on their assigned roles and permissions. Organization administrators can view, manage, and export this data.
3.2 Third-Party Service Providers
We use the following third-party services to operate our platform:
- Amazon Web Services (AWS) — cloud infrastructure, data storage (S3), email delivery (SES), and secrets management
- Mapbox — map rendering, geocoding, and route matching services (location data may be processed by Mapbox in accordance with their privacy policy)
These providers process data on our behalf and are contractually obligated to protect your information.
3.3 We Do Not Sell Your Data
We do not sell, rent, or trade your personal information or location data to any third parties for advertising or marketing purposes.
3.4 Legal Requirements
We may disclose your information if required to do so by law, or in the good-faith belief that such action is necessary to comply with applicable laws, respond to a court order, judicial or other government subpoena, or warrant.
4. Data Storage and Security
We implement comprehensive security measures to protect your information:
- All data is stored on secure AWS infrastructure
- Passwords are hashed using industry-standard algorithms (bcrypt) and are never stored in plain text
- All communication between the app and our servers is encrypted using TLS/HTTPS
- Authentication tokens (JWT) are used for session management with configurable expiration
- We enforce single-device login policies and session limits to prevent unauthorized access
- Photos and media files are stored in private S3 buckets and accessed via time-limited presigned URLs
- Database credentials and sensitive configuration are managed through AWS Secrets Manager
5. Data Retention
We retain your data for as long as your organization maintains an active account with Qport:
- Account data — retained while the account is active
- Route and task data — retained for the duration of the organization's subscription
- Session and device data — device fingerprints older than 30 days are automatically cleaned up
- Navigation tracking data — retained as part of the organization's operational history
Upon account termination or at the request of the organization administrator, we will delete or anonymize all associated data within a reasonable timeframe, subject to any legal retention obligations.
6. Your Rights
Depending on your jurisdiction, you may have the following rights:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate personal data
- Deletion — request deletion of your personal data (subject to legal obligations)
- Portability — request your data in a machine-readable format
- Withdraw consent — for location tracking, you may revoke location permissions at any time through your device settings

7. Location Permissions
The Qport mobile app requests location permissions to enable its core functionality:
- Foreground location — used during active route survey recording and navigation sessions to capture your GPS path
- Background location — used only when a navigation or recording session is active, so tracking continues even if the app is minimized (e.g., while using other apps during a delivery)
You can disable location permissions at any time via your device settings. However, disabling location will prevent the core functionality of route recording and navigation from working.
8. Camera and Storage Permissions
The app may request camera and storage permissions to allow you to capture and upload photos of route conditions, constraints, and survey observations. These permissions are optional and only used when you actively choose to take or attach a photo.
9. Offline Data
Qport supports offline operation. When you use the app without an internet connection, data (GPS points, photos, notes) is stored locally on your device and automatically synced to our servers once connectivity is restored. Locally stored data is subject to the same privacy protections described in this policy.
10. Children's Privacy
Qport is a professional logistics platform and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at info@quickdili.com and we will promptly delete such information.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after any changes constitutes your acceptance of the updated policy.
